Exactly-once email intake

A Microsoft 365 or IMAP mailbox is polled continuously. A message-id ledger and a received-time watermark mean an invoice is never ingested twice — even if someone opens the mail in Outlook first — and mailbox history is never back-ingested on day one.

A routed, shared inbox

Non-PO ready, review and processed; PO ready, review, pending receipt and processed; statements, receipts, credits and prepayments. Held server-side, so it is the team’s queue, not one person’s browser.

A nightly PO-receipt job

Re-checks invoices waiting on goods, advances any whose order is now received, marks the overdue ones, and emails the PO originator. Movements appear in the in-app notification bell.

The Posting Log

Every attempt, posted or failed, with who clicked it, the billing path, the policy, and either the ERP bill link or the failure reason.

Plain-English ERP errors

Duplicate reference, inactive item with the exact navigation path to fix it, closed accounting period, subsidiary mismatch — raw ERP failures translated into AP guidance.

Nothing posts on its own

Every posting is a person approving a decision the system has already shown its working for. Approve in the inbox; the adapter posts; the golden rule is enforced one final time.

The receivables twin

The AR inbox works the same way

Every bill of lading files itself as Ready to Invoice, Needs Review, Pending Fulfilment or Already Invoiced, with the reason on the card. The customer invoice is previewed exactly as it will land in the ERP, with every warning shown, before anyone approves it.
